An office background adds a flare of professionalism to online meetings and can help limit potential distractions. Still, a background alone is not enough to make a remote meeting productive. Remote workers can struggle with focus during meetings because they want to continue working or don’t understand the purpose of the meeting. If you want to ensure a productive online meeting, relay the importance of attendance and follow five tips.
1. Sticking to the Agenda
Before a mandatory online meeting, provide each team member with an agenda, which should cover every aspect of the meeting, including Q&A sessions. Do not deviate from the schedule during the meeting.
When team members have an accurate guide to the meeting and know what to expect, they are more attentive during the process. Also, with accurate timetables, participants are less likely to become distracted.
2. Making Sure Everyone Is Included
Virtual office backgrounds can create a team environment, especially when shared across all desktops. That said, true team unity does not come from background displays; it stems from inclusion.
When holding a meeting, inform all team members that they have a voice. Encourage feedback before, during, and after the meeting. Not all team members will feel comfortable speaking up during a presentation, but they may share feedback in writing afterward.
3. Using the Chat Function
The chat feature during online meetings is an excellent way to reduce vocal chatter while addressing all questions or concerns. Also, chats allow group members to interact and offer input while discussions are ongoing.
While a chat feature is helpful, it is not practical for all settings. For example, if hosting an online meeting for several teams in the company, the chat is often ineffective and chaotic.
4. Muting Mics When Others Are Speaking
When someone is presenting to the group in front of Zoom office backgrounds, it is polite to reduce vocal discussions. The best way to eliminate the temptation to voice an opinion during a presentation is to mute all nonactive speakers’ mics.
Muting means no one in the group can speak to the group until the active speaker completes their presentation. While an effective strategy to limit distractions, sometimes muting others prevents productive dialogue.
5. Keeping Background Noise to a Minimum
Even with muted mics, background noise is a distraction. Whether it is coming from the speaker or within your house, quiet or silence is crucial for focus, so most professionals recommend setting up your home office in a low-traffic area, like a basement or spare bedroom.
If you have little ones or a partner who also works from home, it is helpful to establish boundaries. You can explain to children that when the door is closed to your office, it means you are working.
Online meetings present unique challenges for remote workers. That said, with the appropriate home setup and effective management of agendas and communication strategies, there is no reason you still can’t make the most of remote meetings. Talk to a remote work professional for more advice.
